Are you a translation agency?

We are an online platform that allows you to receive an instant quote and place an order for an official translation. The convenience and speed of our system are what sets us apart from other translation vendors. We translate your documents in-house or assign them to accredited professional translators. You will receive a guaranteed deadline for the delivery of your translations.  

How does it work?

If you want to receive a quote for a translation or order your translation directly via our website, you have to fill in the request form. Select the type of document, the source and target language, upload your document and that's it! Our software calculates your quote instantly and tells you when the translation will be ready. All you have to do is enter your details and place your order. After you have made the payment online, we will receive a notification and the translation process can be started. Once the work is complete, you will receive a scanned copy of your translation in PDF format by email. You can then collect the hard copy at our office, or it will be sent by registered post to your address. In a nutshell: a simple, straightforward, and fast process!

Who will translate my document? 

All documents are entrusted to native speakers of the target language who are registered sworn translators and meet our quality requirements.

Do I need to send the original document to you? 

We know how valuable original documents are and oftentimes you only have one copy. To avoid the stress of losing your documents, you do not have to bring or send them to us. A high-quality scanned copy or photo is sufficient for us to provide an official sworn translation.

How do you guarantee I will receive a sworn translation?

The sworn translation service we offer is fundamentally different from other translation services. Our translators are official translators registered in the national register of translators of the Belgian Ministry of Justice. They each have an official stamp. Each page of the translation we deliver will have the translator's stamp and signature as well as the official certification declaration on the last page. As a result, the translation will be valid for official use throughout Belgium.

How long does it take before I receive my translation?

The guaranteed deadline is always specified in the overview when you place your order. Do you need your translation sooner? Please tick the relevant box when placing your order and send us your documents. We will then contact you as soon as possible with a suitable offer. Please note that the guaranteed deadline is the shipment date of your translation. We are not responsible for any delays in the postal services.

Which file formats can you handle?

We can process virtually all file formats. However, our online application can only calculate an instant quote for a scanned PDF file, image files (jpg, png, or other), and Word files. If you upload other formats, the application will tell you that automatic price calculation is not possible and you will have the option to send your documents to us. We will then contact you as soon as possible with a suitable offer.

How are prices calculated?

Our prices for translations are always based on the number of pages in your documents, the type of document, and the language pair. They are subject to VAT. The minimum rate for a translation (certification fee not included) amounts to 50 EUR excl. VAT.

How can I pay?

You can currently pay online using Bancontact, Maestro, and all credit cards through the secure payment services offered by Mollie.

Can I cancel a translation I ordered?

Your order is final once the payment has been processed and the order has been accepted by certifiedtranslations.be. Should you have placed an incorrect order or should you no longer require your translation for any other reason, please contact us at info@certifiedtranslations.be. If your order has not been processed yet, it can still be canceled with a full refund, subject to an administrative fee of 20 EUR. If the translation has already been started or completed, the completed services will be billed, with a minimum of 50% of the order value. The remaining amount will be credited and refunded to you.

Can my order still be changed after I have made the payment?

This is possible if certifiedtranslations.be finds errors in your order upon acceptance of the order. For instance, if certifiedtranslations.be finds that you have submitted a contract for translation, but you indicated you wanted to have a birth certificate translated, certifiedtranslations.be will change the quote and send it to you for approval. Of course, we can also update your order if you have additional documents for translation that you did not upload the first time. Just contact us at info@certifiedtranslations.be and we will update your order.

What if I am not satisfied with my translation?

We are committed to delivering high-quality translations. Our translators have all taken an oath to complete all translations conscientiously to the best of their knowledge and ability. If you are not satisfied with your translation for any reason, please contact us at info@certifiedtranslations.be and we will look for a solution together.

What is an apostille?

An apostille is a declaration that is added to a document by an official authority and that meets the form requirements mentioned in the Hague Apostille Convention of 1961. In Belgium, apostilles are issued by the Ministry of Foreign Affairs in Brussels.

What is a legalization?

A "legalization" is a confirmation by an official authority that the signature on a document is actually the signature of the person who signed the document. Certified translations that are intended for use outside of Belgium often require legalization by the Ministry of Justice to be valid for official purposes. An official verifies whether the signature on the translation is actually the signature of the certified translator and legalizes the document with a stamp. To obtain legalization, either you or the translator has to go to the Ministry of Justice in Brussels in person.
